4.    Variable Printing/On Demand Printing

 

Variable printing is the process of merging information, in the form of text or graphics, from one or more information sources with one or more background pages. An example of variable data printing is a form letter where the name and address of the recipient changes on each letter but the letter body remains the same. The letters below illustrates the process.

 

 

 

 

Variable data printing is not, however, limited to simple, one-page form letters. A more comprehensive definition of variable data printing is "the process whereby a series of one or more documents is generated by merging background information common to an entire series of documents with specific information which differentiates each document within the series." The differentiation is derived from the content that is merged with the base document.

This definition is general enough to also encompass the processes of on-demand printing and automated document construction, which are merely special cases of variable data printing. Variable data printing can be achieved through a wide range of processes, which can be software based, hardware base, or some combination of both.

TRC introduces the means to manage your documents from your computer. Let us remove the burden from years of stored documents and the annoying time it takes to recover a document for review. TRC s small document scanning services will take your 2.60" x 2.60" to 11.80" x 17.00", document and place it onto a CD. This allows you to always work from your desktop and maintain control and access to documents.

 

As computer technology becomes a larger part of our lives, old-fashioned paper filing and archiving becomes more inefficient. It does not make sense for business or government organizations to burden themselves with piles of paper. Document Automation Development (DAD) specializes in large and small format digital scanning, archiving, and indexing. It will reduce rooms full of files to CD s. Case Management/Electronic Case Files Compliance For The United States Courts

 

CM/ECF-All new documents prepared for ECF cases must be converted to PDF before entering them into ECF or transmitting them to court.

 

CM/ECF Requirements for Hardware and Software

 

Hardware and software needed for an easy transition to this new system are found in most offices. However, there may be a few new items you will need to get started. To operate CM/ECF, you must have the following equipment:

 

  • Personal computers running on a standard platform such as Windows, Windows 95, Windows 98, or Macintosh will support this requirement.

 

  • The use of an Internet provider using Point to Point Protocol (PPP).

 

  • Netscape Navigator version 4.6 or 4.7. Netscape 6 is not recommended for the use with CM/ECF. Internet Explorer version 5.5 is being tested to certify its compatibility with CM/ECF. However, some users accessing the system through Internet Explorer have had positive results. (128-bit encryption is recommended).

 

  • Adobe Acrobat PDF Writer software is needed to convert documents from word processor format to portable document format (PDF). Acrobat Writer Versions 3.X, 4X, and 5.0 adequately meet the CM/ECF filing requirements. Adobe Acrobat Reader software is available free off the Internet. You can only view and read the document with this software. You must have the above-mentioned Adobe programs for creating or converting documents.

 

  • The use of a PDF compatible word processor such as Macintosh or Windows based versions WordPerfect and Word.

 

The use of a high-speed scanner to transmit your documents that is not in your word files and is not available electronically. As an example, exhibits will need to be scanned and saved as PDF files.

TRC has the right solution for reducing the Paper Mountain from your office. Unlike offsite storage facilities that catalog, store and retrieve your files, we eliminate the twenty-four hour turn around time. Our solution is converting your files into an easy readable PDF format that can be accessed from any of your desktops. As an example of this would be taking a four draw filing cabinet, scanning each file, and reducing all of the Paper Mountain to a single CD. TRC has prepared a list of frequently asked questions that covers the majority of day-to-day tasks. As always, we are available to answer any others you may have.

 

Q: Can you print files from a Compact Disk, Zip Disk, or Floppy Disk?

A: Yes, TRC can print from most computer media.

 

Q: What file formats does TRC support?

A: TRC can print/plot CAL s GIF s, JPEG, TIFF s, PLT and AutoCAD DWG files. Some files may require conversion time. We also support Microsoft Office, Corel WordPerfect Office, Corel Draw and Photo-Paint, Adobe Acrobat (PDF s), Illustrator, I, and Photoshop.

 

Q: How should I send TRC files over the Internet?

A: Attach the files to an e-mail (it is best to use a Zip file, when there are several files) and send them to trc@trctranet.com or as an account customer send them to our FTP site. This is preferred when there are large or numerous files.

 

Q: What is FTP, and how do I use it?

A: FTP is a direct transfer of files between computers via the Internet. You may use your web browser or FTP software such as WS FTP or Cute FTP. To use your web browser you must make sure it is configured correctly, to do this for the Internet Explorer select Tools, Internet Options, Advanced Tab, check all the boxes that apply to FTP. There should be two, enable folder view and use passive FTP.

 

Q: Can TRC download files from the Internet or a FTP site and print them?

A: Yes, TRC will download your files. Send TRC a fax or e-mail with the URL (web address), login and password required for the site, specify the number of copies to be printed, drawing size and job name.

 

Q: Can TRC scan my documents to a disk? (CD, Zip Disk, or Floppy)

A: Yes, TRC can scan your hardcopy documents to several different file formats; we can also send your files via e-mail or FTP for faster transfer.

 

Q: What file type is better to send, AutoCAD .dwg or a .plt (HPGL/2, HPGL/RTL) file?

A: The plot (.plt) file is the preferred file format. The reason is what you see is what you get . AutoCAD .dwg files may be missing internal information and may not plot exactly as the author intended. (See next question).

 

Q: What files do I need to plot AutoCAD .dwg files?

A: TRC needs any font files used in the drawings, either True Type or AutoCAD. These files are found in the folder Fonts in the AutoCAD folder (example path, C:\Program Files\AutoCAD\Fonts). Also needed is any plot styles (line weight settings) used with the drawings, these files will have the extensions .ctb, .stb, or .pcp (for R14). These are found in the folder Plot Styles in the AutoCAD (2000) folder. Make sure that any X-references are included. X-refs are .dwg files attached (imported) to other drawings. This is done for a variety of reasons, but the main purpose acts as a time-saver. Objects that may be X-refs are borders and title blocks, building outlines, etc.

 

Q: How do I create my own plot file?

A: A plotter needs to be created or configured to output a file. The plotter does not need to physically exist, or be connected to your network or computer. This printer should support the necessary drawing size, as an example, a printer or plotter that has a maximum output of 11 x 17 cannot create a D size plot file. AutoCAD comes with several drivers for plotters. To create your plotter, go to Start, Settings, Control Panel, and Autodesk Plotter Manager. Select Add-A-Plotter Wizard, and instruct the Wizard to use My Computer, and then choose the plotter driver you want to use. Click Next when finished. You will be prompted to Import plotter specific information, you can skip this by clicking Next. Select Plot to File, which is the center radio button. Click Next. To name your plotter, select a name or keep the default. Keep in mind that two plotters cannot share the same name, you may wish to distinguish that this plotter outputs to a plot file. Click Next. You can Edit the Plotter Configuration if you wish, but it is not necessary, (also this is accomplished from the Plot Window), nor do you need to Calibrate Plotter.

 

Q: Can I scan hardcopy directly to AutoCAD .dwg format?

A: No, you cannot scan hardcopy to .dwg format. AutoCAD files are Vector images. The image is created by a series of lines. Scanning creates a Raster image; these are created by a series of points. A Raster to Vector conversion can be achieved, but it may be cost prohibited. Prices vary based on density of the drawing and the turn around time.

TRC announces a new software package for the AEC market. Our Project Access System (PAS) gives Architects/Construction project professionals the ability to manage their daily design projects with a simplistic method for viewing, mark-up and administration of design and related documents such as spreadsheets. Using PAS, project professionals can now deploy a system for internal and external use via the Internet to manage the access to their on-going design projects and give their end clients and subcontractors immediate access to design drawings, allowing for instant searching, view and mark-up of images as well as email notification.

18.                       COVS Facts And Screen Shots

PAS allows for the following:

*      Manage projects and permits administrative control of projects and their access by end clients and subcontractors. The AEC firm can set-up a database of their current projects by a name or numbering convention and designate who can access the project database on the web. Once projects have been posted on their internal web server, the end user can log-on and get immediate access to the project on-line.

*      Users can view, mark-up and correspond with the Project Manager or Team Lead. Once changes to design files have been made by the user, the Project Manager receives an email notification that changes or comments have been made to those design files. Since PAS keeps track of the exact files, it is very simple to determine what was changed or commented on by the end user. PAS uses Web4's industry leading on-line view and mark-up tool, eReview, tm.

*      Managers can host real-time online meetings. Chairperson of meeting can schedule meetings, invite attendees, end meetings, and assign/remove privileges to each attendee. The meeting can be saved, to be replayed back at a later time.

*      Minimizes the time to track projects reviews and correspondence with end user by reducing the amount of plotting/printing of files and the costs of mailing or couring the documents to the end user. By giving users on-line access to the exact design files, the process of manual searching is cut out and review times are dramatically reduced.

*      Historical project tracking is now possible since finished projects can be stored on disk or moved off to a near-line data storage media such as Optical or Tape.

51-505 Document Production On-site and Off-site Services - Document production on-site and off-site services provide customers a practical turn-key solution to a customer's requirements for production of documents. A typical document production service would include the required equipment (e.g., high-volume digital color copiers, scanners) and contractor provided operational and management personnel required for effective on-site/off-site document production. Document production services are available using either contractor provided and installed equipment, using existing Government-owned equipment, or using equipment installed in Government locations under Lease-to-Ownership Plans. In addition, single or multiple shift production operations; consumable supplies (paper and transparencies are usually not included); on-going equipment maintenance; and customized agency reports are included. Negotiated Operational Performance Standards may be jointly developed and included in the purchase order (e.g., job turn-around time, maximum number of impressions per day or month, document quality expectations, turn-around performance and accuracy ratings, management of the consumable supplies, and monthly management reports).

 

51-506 Document Conversion Services - The process of document conversion involves state-of-the-art scanning of the original document's text and graphic image into digital data, which is then transferred to a new media and formatted for use in a document imaging and storage system. Comprehensive DCS are used to transfer text and graphic images in existing documents (e.g., correspondence, files, technical manuals, land records, charts, engineering drawings, legal instruments, etc.) in whatever media they currently exist (e.g., paper, aperture cards, microfiche, microfilm, roll film, etc.) onto a new delivery/storage media (e.g., CD-ROM disks, 4mm/8mm magnetic tape, magnetic storage disks, aperture cards, microfiche, microfilm, roll film, etc.) in any required format (e.g., raster images, ASCII text, SGML tagged for electronic distribution or publishing, PDF image files, etc.) required for use in a document imaging and storage system. Customized coding and indexing options are also available as part of the document conversion process. Complete DCS will be used for both unclassified and classified documents using Government or contractor facilities or a combination of both.
